Protecting your personal information

Maidenhead Cycle Hub and its Board of Trustees are committed to looking after your personal information. We follow applicable UK data protection laws, including the Data Protection Act 2018 and UK GDPR, and respect the rights of everyone whose information we handle.

Personal information

Why we collect personal information

Who we are

To provide our services and run the charity, we need to collect and use some personal information. This may relate to customers, suppliers, service users, employees, volunteers, and others we work with or may need to contact.

This notice explains how we collect, use, store and protect personal information.

Maidenhead Cycle Hub is a charity based at Unit 3, Bell Business Centre, 48 Bell Street, Maidenhead, SL6 1BR. We provide a range of cycling-related services to bring the benefits of cycling to our local community.

Maidenhead Cycle Hub is the data controller for the personal information covered by this notice. This means we decide how and why that information is used.

What personal information means

Personal information is information about a living person who can be identified from it, either on its own or together with other information we hold or are likely to hold. The use of personal information is governed by the Data Protection Act 2018 and UK GDPR.

How we look after your information

We take our data protection responsibilities seriously, and:

  • Keep personal information accurate and up to date.
  • Store and dispose of it securely.
  • Collect and keep only the information we need.
  • Protect it from loss, misuse, unauthorised access and disclosure.
  • Use appropriate technical measures to help keep it safe.

How we use your personal data

We may use your information to:

  • Provide our voluntary services for the public benefit, as set out in our constitution.
  • Manage membership records.
  • Fundraise and promote the charity’s work.
  • Manage employees and volunteers.
  • Maintain our accounts and records.
  • Run the Maidenhead Cycle Hub website and provide services you have requested.
  • Keep you informed about our news, events, activities and services.
  • Invite you to take part in surveys about our current services or possible new ones.

Our legal reasons for using your information

The legal basis for using your personal information depends on what information we collect and the circumstances in which we collect it. We will use your information only when we have a valid legal reason, such as:

  • You have given your consent.
  • We need it to fulfil a contract with you.
  • We have a legitimate interest in using it, and that interest is not overridden by your data protection interests or fundamental rights and freedoms.
  • We are legally required to collect it.
  • We need it to protect your vital interests or those of someone else.

If we need you to provide personal information to meet a legal requirement or fulfil a contract, we will explain this at the time. We will also let you know whether providing it is mandatory and what may happen if you choose not to.

When we share your information

We treat your personal information as confidential. We use it to fulfil our agreements with you, provide information or services you’ve requested (or that may interest you where we’re legally allowed to do so), tell you about changes to our services, and contact you for evaluation purposes.

We will share your information with organisations outside Maidenhead Cycle Hub only with your consent.

How long we keep your information

We keep personal information only for as long as reasonably necessary. Depending on the circumstances, this may be for safeguarding purposes, for as long as a project remains valid, to meet a legal requirement, or for the period set out in an employment contract or volunteer or sessional worker agreement.

Yours rights

Unless an exemption applies under UK GDPR, you have the right to:

  • Ask for a copy of the personal information we hold about you.
  • Ask us to correct information that is inaccurate or out of date.
  • Ask us to erase information we no longer need to keep.
  • Withdraw your consent at any time, where we rely on consent to use your information.
  • Ask to receive your information, or have it sent directly to another data controller where possible and applicable. This is known as the right to data portability.
  • Ask us to restrict how we use your information if you dispute its accuracy or how it is being processed.
  • Make a complaint to the Information Commissioner’s Office (ICO). See the ICO’s “Complaints” information page or call the helpline on 0303 123 1113.

To exercise your rights or raise a question or complaint, please contact us in the first instance.

If we want to use your information for a new purpose

If we plan to use your personal information for a purpose not covered by this notice, we will give you a new notice before we begin. It will explain the new purpose and the relevant conditions for using your information. Where necessary, we will ask for your consent first.
